Previous Minutes

The minutes of the meeting of 21 January 2015 were distributed to the committee and confirmed as a true and correct record.

Actions Arising from Previous Minutes

·           Bob further to amend General Rules and bring copies to the next meeting.

·           It was noted that general association rules can be altered at a committee meeting but any rules that significantly affect players, ie; changing players then all association members need to be informed so that a decision is made that reflect the will of members

·           Tardy still to collect the men's B team rep shirts from Nelson reps and drop these to Mike.

Correspondence

·           Accounts are with K&J Consulting for auditing

·           No current bank statement

Financial Report

·           Quote for table hire for Seddon Shield were noted, Bob to forward quote

·           Mike to forward a/c for rep shirts to Nicole for payment (approx $600)

General Business

·           Dates for MPA Tournaments 2015 have been released and to be uploaded on MPA website

·           Seddon Shield to be held in Blenheim this year. Clubs of Marlborough have waived the venue hire fee and the committee agrees to hold the Seddon Shield event there rather than separate venues

·           Bob to confirm our acceptance of the venue with Shelley (COM)

·           Judyne Heissenbuttel indicated her intention to seek reselection as women’s selector for 2015

·           Tardy Landon-Lane indicated his intention to seek reselection as men’s selector for 2015

2015 AGM

·           Date will be Tues 17 Feb at 7pm at the Redwood Tavern - Mike to advise JD

·           Newspaper advert needs to go out at least 14 days in advance (by 3 Feb) - Bob/Gail will arrange this

·           Notices need to go to the clubs at least 21 days prior to the AGM (by 27 Jan) stating AGM details (date, time, venue), calling for remits to be submitted to the Secretary no later than 7 days prior to the AGM, and calling for nominations for Executive Officers, Men's and Women's Selectors - Bob/Gail will arrange this

·           A notice listing nominations for Executive Officers, Men's and Women's Selectors, as well as advice on voting and remit procedures must go to the clubs at least 7 days prior to the AGM (by 10 Feb) - Bob/Gail will arrange this

·           The 2014 financial report will need to be printed - Nicole will discuss this with Gail

·           The committee agreed to the forming of a Seddon Shield sub-committee whose sole purpose would be to ensure the smooth and successful running of the tournament.  Membership of this committee to be agreed at the AGM or the first meeting of the committee
